The future of fleet management: AI, data and women lead the way

As AI reshapes the transport industry, fleet managers must move beyond simply collecting data and start using it to make smarter, faster decisions. Michelle de Freitas, country sales manager for fleet management software leader Webfleet South Africa, is helping to demonstrate how womenโ€™s leadership is shaping the future of transport and logistics.

The transport industry is under increasing pressure. Rising fuel costs, stricter sustainability requirements, heightened safety expectations and the gradual shift towards electric mobility are forcing fleet operators to rethink how they manage their businesses. Against this backdrop, telematics has evolved from a simple vehicle-tracking tool into a strategic platform that helps operators improve safety, reduce costs and make smarter decisions.

At Transport Evolution Africa, held in Johannesburg in June, Webfleet showcased its latest connected fleet technologies. These included the CAM LITE and CAM PRO intelligent video telematics solutions, the PRO X driver terminal, fuel monitoring capabilities and comprehensive asset tracking.

โ€œOur solutions are designed to help businesses take control of their operations in a practical, measurable way,โ€ says De Freitas. โ€œWhat we offer is not just technology alone. When you combine vehicle tracking, cameras and reporting into one ecosystem, you move from reacting to problems to proactively preventing them.โ€

Turning data into action

As fleets generate increasing volumes of data, De Freitas notes that the issue is no longer getting access to information. โ€œThe challenge today is understanding what the information means and knowing how to act on it,โ€ she explains.

Webfleet is addressing this through AI, predictive analytics and data science, transforming complex fleet data into practical recommendations. Rather than analysing lengthy reports, fleet managers receive clear insights into where excessive idling, inefficient routes, harsh driving or poor vehicle use are increasing fuel consumption and operating costs.

With fuel accounting for as much as 40% of fleet operating costs, these insights have become increasingly valuable. โ€œThe conversation has shifted,โ€ says De Freitas. โ€œItโ€™s no longer simply about tracking expenditure; it is also about identifying the small inefficiencies that quietly erode profitability.โ€

Sustainability and electrification

De Freitas believes sustainability has become a business imperative rather than a compliance exercise. โ€œTelematics gives businesses complete visibility into fuel consumption, emissions and operational waste,โ€ she elaborates. โ€œIf you reduce fuel consumption and COโ‚‚ emissions, you also reduce operating costs. Whatโ€™s good for the environment is often good for business.โ€

Webfleet is also helping operators to prepare for fleet electrification. By analysing fleet use, the platform identifies where electric vehicles (EVs) are operationally viable before investment decisions are made. Once EVs are deployed, fleet managers gain real-time visibility into battery range, charging status and vehicle use, helping to reduce range anxiety and improve operational planning.

โ€œThe move to EVs is happening, but it needs to be done properly,โ€ says De Freitas. โ€œWe help businesses make informed decisions based on real operational data rather than guesswork.โ€

Leading with authenticity

As South Africa celebrates Womenโ€™s Month, De Freitas says successful female leadership is about remaining authentic: after more than 30 years in sales and leadership, she has built her career in a traditionally male-dominated industry by focusing on honesty, trust and leading by example. โ€œIโ€™ve never tried to fit a mould. I focus on being honest, building trust and delivering results,โ€ she says.

While encouraged by the growing number of women entering leadership roles, she believes there is still work to be done. โ€œRepresentation alone isnโ€™t enough. We need to ensure women have genuine opportunities to influence decisions, grow their careers and support one another,โ€ she emphasises.

Her advice to young women entering transport and logistics is straightforward: โ€œBack yourself. This industry needs fresh thinking, strong leadership and different perspectives. Stay curious, keep learning and donโ€™t be intimidated. There is absolutely space for you here.โ€

For De Freitas, the future of fleet management will be defined by those who can turn complexity into clarity. As AI, connected vehicles and real-time analytics become more deeply embedded in daily operations, the most successful fleets will be those that use technology not as a reporting tool, but as a decision-making engine. โ€œWhat excites me most is how intelligent our industry is becoming. Data, AI and connectivity are coming together to make fleet operations safer, more efficient and more sustainable,โ€ she says.

It is a shift that will demand more than new systems. It will require leaders who understand people, operations and technology, and who are willing to challenge old ways of working. For De Freitas, that is where the real opportunity lies: in helping fleets use data with purpose, while showing that the future of transport will be shaped by a broader, more diverse generation of leaders.
